XiTrust customer GULP – a recruitment service provider operating under the umbrella of Randstad Germany – finds the right employers for highly qualified freelancers working in IT, engineering and finance. The freelancers often include companies. GULP uses MOXIS, the electronic signature folder, for contract management. Long-standing GULP customers such as the German management consultancy MAIN5 also benefit from these services.
Andrea Beeker looks after financial operations and contract management for her employer MAIN5. The consulting firm based in Frankfurt/Main specialises in supporting customers from the pharmaceutical industry and life science organisations in various areas such as strategy development, management and process consulting. “We often work project-based,” explains Andrea Beeker, “which naturally results in a lot of contracts that need to be processed as efficiently as possible.”
Project-based means that the German consulting company is constantly working with new customers, one of which is currently using the services of their contract partner GULP. Signature processes play a central role in each of these cases. “The contracts we make with GULP set out binding rules for the collaboration and they all require legally valid signatures – as quickly as possible, as the project work is often time-limited.” The entire ordering and invoicing process in such projects is handled by GULP.

From ordering to invoicing
The MAIN5 customer initiates the entire order process via the recruitment service provider GULP. From this point onwards, three partners work together contractually. Transparency is required. Before utilising the electronic signature folder, this was not always a straightforward exercise. Andrea Beeker describes the old solution as “a bit cumbersome”: “GULP had set up the process analogue, printed it out twice and sent it by post. Our job was then to sign it and send the original back by post. Only then was there an invoice!” she explains.
The qualified electronic signature and the signature folder simplify the process enormously: since GULP has been using MOXIS, the company has avoided media disruptions, as the signature workflow is completely electronic. This provides a better overall view: Which document is ready for signature? Where is a signature still missing? Andrea Beeker receives the information from MAIN5 by e-mail. From now on, she can also work directly in the MOXIS interface as an external user. Once everything has been checked and is ok, it can be signed electronically.
“Once all the documents are prepared, I also like to use the https://www.xitrust.com/en/moxis/features-functions/batch-signature/>batch function in MOXIS and sign with a single transaction,” explains Andrea Beeker. “This and the full digitalisation save me an enormous amount of time,” she says. “Media disruptions and trips to the post office are a thing of the past with MOXIS. This has strengthened the collaboration between GULP and MAIN5 in the long term!” And thanks to MOXIS, invoicing is now much quicker as well.
